Description
1. Answer incoming calls professionally and route calls to other staff members in line with the hospital’s protocols.
2. Greet visitors and escort/direct them to the correct place.
3. Ensure that clients are seated comfortably as they wait to be attended to by the veterinary doctor.
4. Prepare patient forms and files ahead of their scheduled appointments for easy access when they arrive.
5. Register the clients/patients when they arrive to EVMC.
6. Promptly notify the doctor of the arrival of patients.
7. Ensure that patients owners/representatives do all necessary paperwork accurately before they are discharged from the hospital.
8. Maintain a visitors’ log.
9. Place orders in order to maintain an adequate stock of office & stationery supplies as well as hospitality item such as tea, coffee and cups.
10. Assist administrators with typing assignments, photocopying, or other document preparation, as requested.
11. Operate standard office equipment, such as phone systems, photocopiers, binding machines, etc.
12. Update and distribute the internal staff contact list.
13. Maintain physical and electronic files as assigned.
14. Assist the Executive Director’s Executive Assistant as requested.
15. Maintain mailing and contact lists as applicable and as requested.
16. Provide occasional translation and interpretation assistance.
