Facilities Coordinator

Job Description

ECCO Gulf Majorel Qatar is seeking an experienced Facilities Coordinator to join our team in Qatar. As a Facilities Coordinator, you will play a crucial role in ensuring the smooth operation and maintenance of our facilities. You will be responsible for managing day-to-day facility operations, coordinating maintenance activities, and ensuring compliance with safety regulations. This is a full-time, permanent position that requires a proactive and organized professional with a keen eye for detail.

    • Support day-to-day business and project management activities by providing administrative duties including but not limited to: scheduling appointments, organizing and printing email attachments, scanning, developing physical and digital files, virtual filing cabinets, Company requests etc.
    • Serve as a focal point for Company entities and external institutions and agencies on a range of specified issues; schedule, organize and facilitate meetings, conferences, and other special events. 
    • Coordinate venues, attendance, agendas, and facilities; take minutes, provide administrative support, and follow up on matters arising from meetings.
    • Oversee daily operations of the facility, ensuring all areas are clean, functional, and safe. Raise Company requests and following up with the City Operations (incl. arranging site visits and monitoring completion of tasks).
    • Conduct regular inspections of the center to identify and resolve issues promptly.
    • Maintain an inventory of maintenance supplies and equipment, ordering replacements as necessary.
    • Ensure compliance with health and safety regulations, conducting regular safety audits and risk assessments.
    • Implement and maintain emergency response plans and procedures.
    • Coordinate fire drills and safety training sessions for staff.
    • Coordinate office moves and setup of new workstations or meeting rooms.
    • Maintain up-to-date records of space usage and occupancy.
    • Provide excellent customer service to ensure a positive experience for all facility users.
    • Screen and direct incoming telephone calls; respond to inquiries and provide information; and take and relay messages.
    • Prepare regular reports on facility operations, maintenance activities, and expenses.
    • Ensure all documentation is organized and easily accessible.
    • Update and maintain a database of all internal and external stakeholders’ contact information to enable business relationship continuity & ease of communication.
    • Perform work independently and efficiently, making decisions on how to approach work assignments and to resolve matters that are routine in nature.
    • Monitor levels of supplies via the inventory management system and notify the team when running low.
    • Other reasonable tasks as assigned by supervisor.

Required Profile

We are looking for an experienced professional with a strong background in facilities management. The ideal candidate will possess excellent organizational skills and the ability to manage multiple tasks efficiently.

  • Proven 2 -5 Experience in facilities management.
  • Strong knowledge of building systems, maintenance procedures, and safety regulations.
  • Excellent knowledge of policies, procedures, systems and work methods.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in using facility management software and tools.
  • Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is a MUST.
  • Problem-solving skills and attention to detail.
